Summary of the role:

The Speaker Coordinator's primary responsibility is to manage the lifecycle of a speaker once they’ve been confirmed to speak at an event through post-event wrap up and beyond. While also helping manage related logistics such as AV or meeting room set ups.

Primary Responsibilities:

  • Manage the lifecycle of a speaker once they’ve been confirmed to speak at an event; answering all pre-event questions, supporting them through their presentation day and post-event wrap up.
  • Continuously improve processes for optimizing the speaker's experience and presentation
  • On-board speakers on the website, managing all profiles with keen sense of detail and timeliness
  • Develop on-site plan for speaker check-in and slide deck collection
  • Create and Manage Speaker Rehearsal Schedule and review with Executive Producer and Audio Visual
  • Support with speaker registration, logistics, on-site technology requests, supplies, and day-of readiness
  • Work collaboratively with the Content team to keep a tight handle on speaker logistics, program and show flows, rehearsal schedules, and slide presentations
  • Assist with managing Audio Visual team for each event; anticipating on-site needs, while collaborating with Executive Producer on budget

About You/Experience Required:

  • 1-2 years of experience in event planning, project management, or operations is desired
  • Must be proficient in Google Suite and Microsoft Office
  • Experience with managing large sets of data and proven ability to stay on top of all of the details.
  • You are highly collaborative and, despite high-pressure situations with tight deadlines, you are able to work gracefully and productively with cross-functional teams from all backgrounds.
  • Willingness to develop familiarity and curiosity with our speaker’s involvement in the Sustainability Industry
