Summary

The Live Event Producer is responsible for delivering, through continuous innovation, an exceptional customer experience at all our live events within budget constraints. This person is a keen project manager, as they will be responsible for timeline tasks against all live events, including delivering exceptional results on speaker, venue, and registration management, as well as ensuring departmental leads are aware of key project milestones that are key to success of the event.

 

This person is expected to work full time from our headquarters in San Francisco. 

 

Duties and Responsibilities

Event Operations Oversight:

  • Ensure exceptional brand experience for event attendees, speakers, Advisory Board and Corporate Members as it pertains to their participation in our live events and meetings.

  • Oversee and sign off on all attendee communication pre- and post-conference including printed materials

  • Create and Manage event stakeholder feedback process and gathering

  • Lead tracking and analyze event feedback and suggest appropriate responses

  • Oversee process of creating printed and other event materials with graphic designer, marketing team, and external printer ensuring consistency with brand voice

  • Manage housing reports and tracking

  • Manage Sustainability Strategy and on site team

  • Source sustainable products and services for all of SB’s operations

  • Work in collaboration with Corporate Membership team to plan Corporate Member engagement activities on-site and assist as needed in advising on the coordination of Corporate Membership meetings


Speaker Management:

  • On-board, register, and coordinate logistics on-site

  • Collect and upload presentations to AV team; coordinate with AV to ensure on time and smooth presentations.


Venue Management:

  • Timely and accurate communication of:

    • Master schedules/timelines/show flows/MC notes to venue & AV team

    • Food & beverage menus/BEO’s

    • Room setup with venue & AV team leading up to event

    • Onsite stage, speaker & AV management


Registration Management:

  • Maintain and manage registration platform and experience before and during conferences including registration emails

Developer Responsibilities

  • Maintain and support front end web site and landing pages

  • Create daily and weekly marketing emails in html

  • Integrate the website with several other platforms like Google Analytics, Adwords, Marketo etc.

Live Event Publicity Coordinator (Intern)

Position Summary:  Provide public relations and media assistance to the communications team. About the Position:

Sustainable Brands ’16 is the 10th annual conference where we bring together business executives from all over the world for four amazingly packed days of plenaries, breakouts, networking events, an Activation Hub with over 100 exhibitors, an innovation open, and so much more. You’ll be working directly with the Sponsorship & Expo Manager and the whole Operations team at SB, responsible for the coordination of exhibitors at the Activation Hub, executing on all plans for the conference, overseeing the registration process for sponsors, fulfillment of sponsor agreements, and making sure the sales and operations teams play nice among many other things.  This internship also includes fulfillment of our digital partners, including web advertisement management, profiles, etc.  Although this is an unpaid internship, the position includes travel & expenses to San Diego for the conference from June 6 – 9, and please also keep in mind; we are always looking for qualified individuals to join our team, so there is plenty of potential for future employment for the right candidate.


About You:

You are passionate about sustainability playing a role in the business space. You are detail-oriented, great at organizing and planning, and can easily multi-task without getting too overwhelmed. You are eager and willing to learn, and above all you can do so in a fast-paced work environment.  You are an effective and professional communicator. You are good at working in a team, but can be responsible for your own tasks and can take initiative when necessary. You are motivated and self-disciplined and can see a project through from start to finish without a lot of hand-holding. Multi-media skills such as audio/video editing or graphic design skills would be a great bonus. Duties and Responsibilities Specific to Live Events:

  • Sponsor and Exhibitor Coordination

    • Function as main contact for sponsors post contract signing – with the goal of maximizing the value of their participation for all parties involved

    • Manage and fulfill on deliverables SLM has committed to each sponsor

    • Maintain accurate and detailed record of each sponsor relationship

    • Oversee use of sponsor logos

    • Build and maintain sponsor-related pages of the SB website

    • Live Event

      • Design and execute the on-site sponsor experience, including registration, orientation, recognition, special events, workshops, gifts and receptions

      • Design and execute sponsor communications: hotel, registration, schedule, etc.

      • Create and manage all sponsor registration codes, distributing to the sponsor and onsite registration member

    • Digital

      • Managing all sponsor ad placement on SustainableBrands.com and in corresponding newsletters

      • Manage continuous correspondence with digital partners, calling for editorial content, managing access to the Member News Room

      • Uploading all relevant digital partner content (white papers, press releases, reports, etc.) to Member News Room and connect with Managing Editor to publish sponsored articles.


  • In-kind Donor Recruitment & Management

    • Seek valuable relationships with in-kind donors to help offset event expenses and to create an on-site attendee gift lounge showcasing eco-friendly gifts and products. In Kind needs typically include coffee, tea, wine, liquor, beer, print/signage needs in addition to gift items for the gift lounge

      • Must be able to build rapport with members and community members, so that you are comfortable asking for these items

    • Coordinate shipping with venues/decorator and organize product on-site

    • Ensure fulfillment of in-kind sponsorship agreements



  • Graphic Art Management

    • Coordinate sponsor logo placement; online and on-site

    • In collaboration with the Graphic Designer, develop all on-site signage

    • Liaison with the printer from start to finish product on signage


Other Duties & Responsibilities

  • Special Projects

    • Work with the Sponsorship & Expo Manager and the Executive Producer, Live Events on various projects related to sponsor engagement during the live events and conferences throughout the year.

Sustainable Brands puts on various live events throughout the year, and you’ll be working directly with the Operations team, who is responsible for the planning and logistics of all of these events:


  • SB’16 San Diego - Our flagship Sustainable Brands conference; June in San Diego

  • New Metrics ’16(event page coming soon!)- 3 day, smaller, deeper dive conference; November in Boston

  • SB'16 Copenhagen  (event page coming soon!) – Our 5th annual European conference is a 3-day multi-track dynamic event


You will be responsible for supporting the team in various tasks such as:


Registration:

  • Assist Marketing team in outreach to help convert incomplete registrations to paid attendees

  • Plan, account for and manage preparation of event materials needed at the registration desk onsite

  • Assist in the preparation of onsite conference materials including

  • Help to plan, design and prepare on-site tool and resource kits for various team members and stakeholders

  • Support attendees with registration help as necessary (helping to update attendee information/provide them log-in details etc)

Digital Support:

  • Manage and update the SB’16 San Diego event mobile app - owning the process from start to finish (data entry, timeline, coordinating with Marketing team)

  • Own the SB Digital Library event updates and maintenance

  • Update event webpages as directed to ensure event pages communicate latest and most up-to-date information

Attendee Special Events:

  • Assist the Event Operations Team in ideating, planning and strategizing around attendee engagement opportunities and special events at 2016 conferences

  • Assist Sr. Events Manager in recruitment and management of Sustainability Team for SB’16 San Diego

  • Recruit, help to hire, and train your own replacement at the conclusion of the contract


Required Skills and Experience:

  • Borderline obsessive attention to detail

  • Excellent planning and organizational skills

  • Above average tech savvy(or eager to learn)

  • Basic HTML knowledge (desired)

  • Experience with Event Planning/Management

  • Customer service focused mindset

  • Multi-media skills such as audio/video editing or graphic design a plus

Schedule

The position is part-time, about 20-25 hours per week, and is based in our San Francisco office. Telecommuting is available on Fridays, but you will work out of our office for the majority of the time. 


What is unique about this position is it’s on a revolving schedule. Meaning that you are responsible for your tasks during the timeframe that you are with SB, and you are also responsible for recruiting and hiring the next volunteer to take your place. One of our goals is to coach you into being able to fulfill this piece of the job.

Member Engagement and Fulfillment [Intern]

About the Position

The Sustainable Brands Membership team seeks an intern to assist with Corporate Member Engagement and Fulfillment. The Membership Intern will be involved in administrative and sustainability content projects for SB’s global network of Corporate Member organizations. This role will require constant interaction with our Corporate Member Network and is an outstanding opportunity to learn about and keep informed of all the latest corporate sustainability efforts and trends. The Member Engagement and Fulfillment team ensures that our members are equipped to utilize their membership to help them on their path to a sustainable future. This position will support the Member Engagement and Fulfillment team on projects ranging from administration, content creation and research. The majority of the work is done online and digitally; therefore, the intern must be tech savvy and have strong computer skills and familiarity with Google Drive, Dropbox, and HTML. Must have access to a personal laptop and the ability to work in the Downtown San Francisco office at least once a week, 20-40 hrs/week.

Responsibilities

  • Update/maintain website, databases, and documents
  • Research and develop organizational tools for membership management
  • Help develop sustainability content materials for our Corporate Members, as well as editorial pieces, library entries, and custom research reports and case studies, as needed, in support of membership fulfillment projects and the overall goal of building up SB’s internal knowledge base on a number of cutting-edge corporate sustainability topics
  • Assist with special tasks and projects, which may include establishing and managing relationships with a variety of stakeholders in the global SB community, co-authoring white papers, and researching and reporting on specific sustainability topics
  • Work closely with the Membership team

About You

  • College or advanced degree graduate (B.A., B.S., M.A., M.S., MBA or equivalent) in Sustainable Business, Communications, Social Entrepreneurship/Innovation, Economics, Environmental Studies, Human-Centered Design, Applied Psychology or related field(s)
  • Excellent candidates still in school will be considered
  • Extremely organized and detail-oriented, highly motivated self-starter, able to juggle many activities and a high volume of communication with focus, grace and good humor
  • Systems thinker who thrives on understanding the big picture, while still paying close attention to details and subtle nuances

Finance & Accounting Director

Summary

The company Finance, Planning and Accounting Director is responsible for the smooth day-to-day functioning of company accounting, financial reporting, and the budgeting/forecasting processes. This includes revenue and expense tracking and allocation, AR and AP management, collections, reconciliations, strategic financial planning and forecasting. The position also works closely with department staff on budget tracking, variance analysis, and product profit and loss.  This position is the main point of contact for accounting and finance issues at the company.

 

This position handles extremely sensitive information, the nature of which can range from company financials, employee salaries and benefits, to legal documents and correspondence. As such, discretion is of the utmost importance in this position to ensure the safety of company data and sound company politics.

Responsibilities


  • Finance & Accounting tasks

    • A/R: client invoicing, process bank deposits, phone/email collections,

    • A/P: Enter all bills, pay in timely manner, itemize and code all entries

    • Payroll: process payroll semi-monthly including needed deductions, expense reimbursements, and 401k deferrals

    • Monthly account reconciliations and forecast updates

    • Process monthly journal entries for depreciation, amortization and deferred revenue

    • Prepare all federal, state and city licenses, taxes, etc with assistance from outside counsel when necessary

    • Offer suggested actions for different financial situations as they arise – M&A, debt financing, partnerships, tax strategy, etc.

    • General Accounting support to staff

    • Drive internal budgeting process at the company, product, and department levels


  • Reporting

    • Issue weekly and monthly reports to all departments, including:

      • Commission reports monthly for approval and payment with payroll

      • Issue monthly financial statements including BS, IS, SCF.

      • Prepare Summary KPI’s on a monthly basis

      • Prepare Quarterly Reports for Board of Directors


About You

  • Bachelor's degree in finance or accounting (Masters degree preferred)

  • 10+ years experience with small – midsize business accounting

  • Highly motivated self-starter, exceptionally well organized and detail-oriented, able to juggle many activities with grace and humility

  • Exceptional written and verbal communication skills; able to earn the trust and respect of all, whether interacting with a global corporate executive, a supplier, or an administrative assistant

  • A team player who communicates well across the organization and views their personal success as integrally connected with the success of the team and the performance of the organization against its goals

  • Proficient with standard business software and information technology including Microsoft Office Suite, Keynote, basic HTML, and social media savvy.
