Editorial Assistant (P/T)

Summary

The Sustainable Brands content team is looking for current students or recent grads to help us keep up with the growing deluge of news coming from the world of sustainable business. We are looking for confident writers who can assist with daily news writing, web research, content posting and the occasional interview. While this will eventually be a full-time role, we are presently looking for two part-time assistants — one who will receive a stipend, and the other a student who will ideally receive school credit for the internship. The ability to work onsite at our downtown San Francisco office at least one day a week is preferred, but not mandatory.

The Opportunity

This is a part-time (20-25 hrs/wk), six-month position with potential for ongoing opportunities for the right candidate. The ideal candidate for this role is a self-starter with news writing or blogging experience, an interest in sustainability and excellent written communication skills, who is organized and detail-oriented, loves to learn and owns his/her own laptop computer. Experience with HTML, Drupal and/or image-editing a huge plus. Opportunity to work for school credit, where applicable.

Director of Business Operations

Summary

The Director of Business Operations is responsible, with guidance from the CEO, for the execution of company finance, facilities, IT, Administration and HR.

On a day-to-day basis, this position is responsible for ensuring the smooth running operation and continuous improvement of company-wide business systems, policies, and culture. S/he will work directly with the CEO to reduce business risk as well as to reduce friction and improve the effectiveness and satisfaction of company employees as well as help us track, manage and report on our own sustainability impact/footprint.  The individual holding this position is expected to demonstrate leadership as it relates to expressing the SB Brand through company culture.

This position handles extremely sensitive information, the nature of which can range from company financials, employee salaries and benefits, to legal documents and correspondence. As such, discretion is of the utmost importance in this position to ensure the safety of company data and sound company politics.

Duties and Responsibilities

Finance

  • Drive the yearly budgeting process and quarterly budget review/adjustments
  • Develop and maintain 3 year financial plan
  • Manage and optimize company debt tools (credit cards, LOC, etc.)
  • Assist the CFO in managing outside financing opportunities as necessary

Facilities/Administration

  • Manage all facility issues with landlord/lease holder
  • Handle all facilities-based negotiations as necessary
  • Supervise Office Manager to ensure a smooth running office

Accounting

  • Maintain full backup copy of accounting system
  • Be fully versed in company Accounts Receivable and Payable procedures
  • Review all General Ledger entries and account reconciliation monthly
  • Systematize finance and reporting structure

Human Resources

  • Conduct/Facilitate 360 review with each employee around yearly review date
  • Create/Maintain employee handbook to reflect current policies
  • Handle all Visa needs and compliance for employees
  • Maintain all staff stock options grant paperwork
  • Request, process and file all employee on-boarding docs
  • Ensure all on-boarding and off-boarding procedures are followed by company managers
  • Act as first point of contact for all staff HR outreach
  • Support Executive team in organization of all individual and team training and development efforts

Corporate Items

  • Coordinate board meetings, filing of appropriate documents and issue reports
  • Issue yearly and/or quarterly reports
  • TQM all company structure including hierarchy, inter-department communications, process improvement, etc.

IT

  • Administer company documents database, currently dropbox and google drive
  • Determine needs and appropriate funds for IT infrastructure such as PC’s and monitors
  • Manage outside IT vendors

About You

  • Bachelor’s degree in related field (Business, Finance, Accounting, Human Resources). MBA strongly preferred.
  • 10+ years experience with scaling small to midsize business operations
  • Highly motivated self-starter, exceptionally well organized and detail-oriented, able to juggle many activities with grace and humility

Position Summary

The Executive Assistant and Office Manager supports a team of two (2) executives in their day-to-day activities, manages the daily care and feeding of the staff, office space for the business and is the first point of contact for the Sustainable Brands community. Day-to-day responsibilities include executive appointment setting, documenting meetings and coordinating follow up, booking executive travel, creating powerpoint presentations, maintaining a healthy, happy working atmosphere for the entire team and responding to customer email and phone outreach, with other duties as time/need arises.

Sustainable Brands puts on various live events throughout the year, and you'll be working directly with the Operations team, who is responsible for the planning and logistics of all of these events:

  • Our flagship conference SB'15 San Diego; June in San Diego, CA
  • The smaller, deeper diving New Metrics; held annually in September in Boston, MA
  • SB London; held annually in November in London, UK

You will be responsible for supporting the team in various tasks such as:

  • Assisting with the coordination of ordering and preparing conference materials
  • Managing spreadsheets for hotel attrition tracking and registration discount codes
  • Recruiting volunteers for on-site volunteer team and managing team on-site
  • Updating and maintaining webpages for various stake-holders, including speaker, sponsor, and exhibitor profiles
  • Oversee tasks and manage various databases related to speaker management
  • Contributing to the brainstorming, planning and execution of special evening social events
  • Assist with research for potential in-kind sponsors and donors, venue research for future events, and various other research projects
  • Assisting with the creation and design of a handful of on-site conference materials such as speaker cover slides, speaker name placards, registration and information desk materials
  • Helping to manage customer service inquiries by phone and email
  • Assisting Operations team on-site at the SB'15 San Diego conference from June 1 - 4th with various tasks such as volunteer management, registration support, customer service and anything else that might come up. 
  • Recruit, help to hire, and train your own replacement at the conclusion of the contract

Schedule

The position is part-time, about 10-15 hours per week and more during the months before conferences, and is based in our San Francisco office. While telecommuniting is an option from time to time for the right candidate, this is an in-office position. 

What is unique about this position is it's on a revolving schedule. Meaning that you are responsible for your tasks during the timeframe that you are with SB. The timeframe is therefore flexible, to fit with the schedule of the right candidate, and we are looking to fill this position asap.

Public Relations Coordinator (Volunteer/Intern)

Position Summary:  Provide public relations and media assistance to the communications team. Contribute to execution and analysis of communications campaigns that ultimately lead to increased awareness and visibility for Sustainable Brands and the community. Part-time (approx. 15-20 hrs/week) volunteer and/or student internship. Able to work in San Francisco office 2-3 days per week.

This internship receives a nominal monthly stipend and includes travel & board to San Diego for the conference from June 1 – 4, so please keep this in mind; we are always looking for qualified individuals to join our team, so the potential for future employment is there for the right candidate.

IT/Office Systems Coordinator (Volunteer/Intern)

Summary:  Sustainable Brands is looking for a current student or recent grad to help support our evolving office technology systems. This position will assist the director of business operations in developing a technology needs assessment for the company, providing suggestions for improvement to current equipment and IT practices to.  Opportunity exists to help establish file backup, document file structure, and security procedures for the company based on industry best practices as well as to provide general network and systems administration assistance and individual tech support as needed. The position is part-time, available for a volunteer or student intern, and the ability to work on site at our San Francisco mission district office is necessary.

Project/Work Description:

  • Design and conduct a technology needs assessment at the Sustainable Brands office
  • Develop a plan to improve current technology performance including comparing options by price/performance
  • Help establish an internal file system for all SB digital documents
  • Analyze current security risks at company office and on company owned equipment
  • Assist in establishing company security procedures based on industry best practices
  • Provide tech support to team at SF office

Desired Skills and Experience:

  • Completed or working towards a degree in information technology, systems administration, network administration or similar from an accredited institution
  • Familiar with best practices around network security, machine security and cloud-based data storage.
  • Comfortable in the server room (routers, switches, etc.)
  • Familiar with cloud and physical business systems such as Google Apps and Microsoft Exchange
  • Working knowledge of both Windows and Mac operating systems and the challenges of a mixed environment
  • Optional experience with database design, productivity solutions such as project management, collaboration and/or community engagement tools as well as office technology solutions including telephony, printing, digital video and or web technologies a plus.
