Position Summary

Sustainable Brands is looking for an Executive Assistant/Office Manager to join our growing team. The position will be part-time to start with the possibility of growing into a full-time position for the right candidate. The ability to work onsite at our Mission district office is necessary.

Duties and Responsibilities

Personal Assistant to Founder/CEO

  • Manage calendar, travel, and tech support
  • Schedule, document, and follow-up meetings

Customer Service/Support

  • Answer, screen and transfer incoming calls. Be the first point of contact with the SB Community
  • Manage customer service email account, fielding or delegating all inquiries
  • Provide web and technological support for customers/members

Office Support

  • Troubleshoot office equipment
  • Order office supplies as needed
  • Coordinate office events and team meetings
  • Serve as general SLM Receptionist

Team Support

  • Manage the process for onboarding new employees, contractors, and interns and assist in the welcoming/onboarding process.
  • Maintain staff contact list
  • Schedule staff travel and accommodations throughout the year
  • Scout & assist in planning various SB internal events

About You

  • Highly motivated self-starter, exceptionally well organized and detail-oriented, able to juggle many activities with grace and humility
  • Exceptional written and verbal communication skills; able to earn the trust and respect of all, whether interacting with a global corporate executive, a supplier, or an administrative assistant

Operations and Event Management [Volunteer/Intern]

The SB Team is looking for a new Operations and Event Management Intern!

About the Position:
Sustainable Brands puts on various live events throughout the year, and you'll be working directly with the Operations team, who is responsible for the planning and logistics of all of these events:

  • Our flagship conference SB'15 San Diego; June in San Diego, CA
  • The smaller, deeper diving New Metrics; held annually in September in Boston, MA
  • SB London; held annually in November in London, UK

You will be responsible for supporting the team in various tasks such as:

  • Assisting with the coordination of ordering and preparing conference materials
  • Managing spreadsheets for hotel attrition tracking and registration discount codes
  • Recruiting volunteers for on-site volunteer team and managing team on-site
  • Updating and maintaining webpages for various stake-holders, including speaker, sponsor, and exhibitor profiles
  • Oversee tasks and manage various databases related to speaker management
  • Contributing to the brainstorming, planning and execution of special evening social events
  • Assist with research for potential in-kind sponsors and donors, venue research for future events, and various other research projects
  • Assisting with the creation and design of a handful of on-site conference materials such as speaker cover slides, speaker name placards, registration and information desk materials
  • Helping to manage customer service inquiries by phone and email
  • Assisting Operations team on-site at the SB'15 San Diego conference from June 1 - 4th with various tasks such as volunteer management, registration support, customer service and anything else that might come up. 
  • Recruit, help to hire, and train your own replacement at the conclusion of the contract

Required Skills and Experience:

Schedule

The position is part-time, about 10-15 hours per week and more during the months before conferences, and is based in our San Francisco office. While telecommuniting is an option from time to time for the right candidate, this is an in-office position. 

What is unique about this position is it's on a revolving schedule. Meaning that you are responsible for your tasks during the timeframe that you are with SB. The timeframe is therefore flexible, to fit with the schedule of the right candidate, and we are looking to fill this position asap.

Public Relations Coordinator (Volunteer/Intern)

Position Summary:  Provide public relations and media assistance to the communications team. Contribute to execution and analysis of communications campaigns that ultimately lead to increased awareness and visibility for Sustainable Brands and the community. Part-time (approx. 15-20 hrs/week) volunteer and/or student internship. Able to work in San Francisco office 2-3 days per week.

This internship receives a nominal monthly stipend and includes travel & board to San Diego for the conference from June 1 – 4, so please keep this in mind; we are always looking for qualified individuals to join our team, so the potential for future employment is there for the right candidate.

  • Assist in the research, writing and distribution of press releases; insert tracking links within the release, upload the release through various distribution services, maintain a log of all final press releases
  • Search for and identify all SB related press featured in media outlets and maintain log
  • Track reporters requesting press passes to events and help coordinate final pass allocations
  • Assist in compiling comprehensive information about Sustainable Brands and parent company, Sustainable Life Media, for targeted media
  • Assist in creating brochures and sell sheets for media
  • Assist in maintaining a database of journalists, editors, publishers and freelance writers; assist in cultivating relationships with key contacts.

Desired Skills and Experience:

  • Completed or working towards a Bachelor's degree in journalism, communications, marketing or public relations from an accredited institution
  • Familiar with performance metrics and measurement of individual press releases and other communications vehicles (traffic sources, views, user engagement, etc)
  • Familiar with Google Analytics and news monitoring services
  • Strong writing and editing skills
  • Working knowledge of Microsoft Office (Excel, Word, Power Point); database software skills a plus

Sustainable Brands Member Support Associate (Volunteer/Intern)

Summary

Sustainable Brands is looking for a current student or recent grad to assist our Director of Corporate Memberships in the daily tasks of running the world’s premier brand sustainability network. The position is part-time (20 hours per week) and is available to a student intern or volunteer. The ability to work onsite at our Mission district office is necessary and some telecommuting is possible. The ideal candidate for this role is a self-starter who enjoys interacting with a wide range of people, is detail-oriented, has an interest in sustainability, loves to learn and owns his/her own laptop computer.

About the Position

  • Assist the Director of Sustainable Brands Memberships with daily tasks of running and managing the world’s premier brand sustainability network.
  • Assist with, and potentially lead, other projects as they arise.

Insight Development Research Associate (Volunteer/Intern)

About the Position:

• Assist with research, design and coordination of Sustainable Brands conference content, supporting program development for flagship annual conferences in the United States and Western Europe, as well as the ground-breaking New Metrics of Sustainable Business series of events;

• Develop research reports and/or case studies to build up and/or update an internal knowledge base on a number of cutting-edge corporate sustainability topics;

• Assist with, and potentially lead, other special projects, which may include co-authoring case studies and white papers;

• Assist with other duties on behalf of the Director of Program Development or the Managing Editor, as needed;

• NOTE: This is an unpaid part-time position and we prefer candidates who can commit at least 20 hours a week. There is some potential to move into a paid leadership position after 3 months, depending on individual performance and the overall growth of the business.

IT/Office Systems Coordinator (Volunteer/Intern)

Summary:  Sustainable Brands is looking for a current student or recent grad to help support our evolving office technology systems. This position will assist the director of business operations in developing a technology needs assessment for the company, providing suggestions for improvement to current equipment and IT practices to.  Opportunity exists to help establish file backup, document file structure, and security procedures for the company based on industry best practices as well as to provide general network and systems administration assistance and individual tech support as needed. The position is part-time, available for a volunteer or student intern, and the ability to work on site at our San Francisco mission district office is necessary.

About You

You are a smart, organized, discrete, detail oriented systems thinker who is passionate about understanding how things work, and about making business and teams work better through the use of smart technology.  While you would be of interest to bay area tech giants, like us, you're more interested in applying your skills and talents to help make the world a better place, and you'd like to set yourself on that path by beginning to build relationships within the community of change makers who are already doing so. 

Project/Work Description:

  • Design and conduct a technology needs assessment at the Sustainable Brands office
  • Develop a plan to improve current technology performance including comparing options by price/performance
  • Help establish an internal file system for all SB digital documents
  • Analyze current security risks at company office and on company owned equipment
  • Assist in establishing company security procedures based on industry best practices
  • Provide tech support to team at SF office

Desired Skills and Experience:

  • Completed or working towards a degree in information technology, systems administration, network administration or similar from an accredited institution
  • Familiar with best practices around network security, machine security and cloud-based data storage.
  • Comfortable in the server room (routers, switches, etc.)
  • Familiar with cloud and physical business systems such as Google Apps and Microsoft Exchange
  • Working knowledge of both Windows and Mac operating systems and the challenges of a mixed environment
  • Optional experience with database design, productivity solutions such as project management, collaboration and/or community engagement tools as well as office technology solutions including telephony, printing, digital video and or web technologies a plus.
