Editorial Assistant (Part-time)

Summary

The Sustainable Brands content team is looking for a current student or recent grad to help us keep up with the growing deluge of news coming from the world of sustainable business. We are looking for a strong, confident writer who can assist with daily news writing, web research, content posting and the occasional interview. While this will eventually be a full-time role, we are presently looking for one part-time assistant. The ability to work onsite at our downtown San Francisco office at least one day a week is a plus, but it's no problem to work remotely.

The Opportunity

This is a part-time (20-25 hrs/wk), six-month position with potential for ongoing opportunities for the right candidate. The ideal candidate for this role is a self-starter with news writing or blogging experience, an interest in sustainability and excellent written communication skills, who is organized and detail-oriented, loves to learn and owns his/her own laptop computer. Experience with HTML, Drupal and/or image-editing a huge plus.

  • daily web research on the latest news and trends in the field of sustainable business
  • writing blog posts and news stories for quick turnaround, as needed
  • posting content to the SB site (via Drupal)
  • spreading editorial content across SB’s various partner sites
  • managing site analytics
  • various administrative duties, as needed

Personal Assistant to Founder/CEO and two additional executives:

  • Manage executive calendar and travel with an eye toward learning how to prioritize based on business priorities.
  • Appropriately allocate CEO’s time and resources to meet project deadlines.
  • Graciously facilitate, carefully document, and diligently follow up on action items on various calls and meetings for CEO.
  • Provide experienced assistance with technology (e.g. Salesforce, Dropbox, Google Apps, Microsoft office, PC/Mac OS, LastPass, etc). Expected you will teach yourself in order to teach others.
  • Organize CEO's interviews, presentations, and IP in a cohesive and logical way

Insight Development Research Associate (Volunteer/Intern)

About the Position in 2016:

• Assist with research, design and coordination of Sustainable Brands conference content, supporting program development for flagship annual conferences in the United States and Western Europe, as well as the ground-breaking New Metrics of Sustainable Business series of events;

• Develop research reports and/or case studies to build up and/or update an internal knowledge base on a number of cutting-edge corporate sustainability topics;

• Assist with, and potentially lead, other special projects, which may include co-authoring case studies and white papers;

You will be responsible for supporting the team in various tasks such as:


Registration:

  • Assist Marketing team in outreach to help convert incomplete registrations to paid attendees

  • Plan, account for and manage preparation of event materials needed at the registration desk onsite

  • Assist in the preparation of onsite conference materials including

  • Help to plan, design and prepare on-site tool and resource kits for various team members and stakeholders

  • Support attendees with registration help as necessary (helping to update attendee information/provide them log-in details etc)

Digital Support:

  • Manage and update the SB’16 Copenhagen event mobile app - owning the process from start to finish (data entry, timeline, coordinating with Marketing team)

  • Own the SB Digital Library event updates and maintenance

  • Update event webpages as directed to ensure event pages communicate latest and most up-to-date information

Attendee Special Events:

  • Assist the Event Operations Team in ideating, planning and strategizing around attendee engagement opportunities and special events at 2016/2017 conferences

  • Assist Sr. Events Manager in recruitment and management of Sustainability Team for events

  • Recruit, help to hire, and train your own replacement at the conclusion of the contract

Schedule

What is unique about this position is it’s on a revolving schedule. Member Engagement and Fulfillment [Intern]

About the Position

The Sustainable Brands Membership team seeks an intern to assist with Corporate Member Engagement and Fulfillment. The Membership Intern will be involved in administrative and sustainability content projects for SB’s global network of Corporate Member organizations. This role will require constant interaction with our Corporate Member Network and is an outstanding opportunity to learn about and keep informed of all the latest corporate sustainability efforts and trends.

The Member Engagement and Fulfillment team ensures that our members are equipped to utilize their membership in order to help them on their path to a sustainable future. This position will support the Member Engagement and Fulfillment team on projects ranging from administration, content creation and research.

The majority of the work is done online and digitally; therefore, the intern must be tech savvy and have strong computer skills and familiarity with Google Drive, Dropbox, and HTML. Must have access to a personal laptop and the ability to work in the Downtown San Francisco office at least once a week, 20-40 hrs/week.

  • Update/maintain website, databases, and documents

Project Manager, Global Brand & Communications [Full time staff]

The full time Project Manager reports to the Director, Global Brand & Corporate Communications. They will own the implementation of schedules and projects centered around all brand and communications materials for internal SB teams with extension to international partner teams.

 

Duties and Responsibilities:

Goals:

  • Partner and collaborate with Global Brand Director to assist with global brand and guidelines projects that ensure category leadership
    • Monitor earned media and identify custom content media channels that seek to amplify live events and drive awareness, growth and engagement
    • Communicate global communications strategy/messaging to internal teams and partners
    • Streamline and maintain a process for identifying and fulfilling partnerships that focus on building brand awareness

Tasks:

  • Own project schedules, goals, and measurement
  • Support Communications Team and execute on global media partner fulfillment (coordinate digital content with marketing team, ensure content-driven deliverables are met)
  • Build out and execute on custom content opportunities (write content, liaise with editorial teams and/or other writers to gather content)
  • Coordinate distribution of press releases (write, post for distribution, create tracking URLs); gather data analytics on press releases
  • Coordinate international partner on-boarding, event reporting & procedures and event wrap-up processes and documents.
  • Regularly communicate and check-in with partners on event operations to ensure program and revenue needs are met
  • Liaise with internal Product Team leads to facilitate program development, individual marketing and communications plans, event operations efficiencies for live events
  • Develop, organize and maintain a process for editing marketing communications materials for individual markets (website copy, newsletters, press releases, social media)
  • Manage all assets across the international platform/amongst international partner teams.

Event & Sponsorship Associate [Full time staff]

In this full time role, you will be an essential part of the team that stewards and fulfills our relationships with sponsors and event planning  partners. This is an excellent opportunity to grow your event and sponsorship experience. The Event Operations Team is a fast-paced, hard working group that ensures our events and sponsorships live up to their full potential by being thorough, professional, and innovative. Your support of this team is critical to their success.   

 

Duties and Responsibilities:

Assist Executive Producer with Event Operations:

  • All logistics for SB live conferences, events and member meetings including:
    • Event venue and hotel management
    • Audio Visual
    • Food & Beverage/Banquet Event Orders
    • Housing and travel
  • Vendor contract monitoring and reporting.
  • Expenses tracking, budget monitoring and invoice tracking.
  • Event planning deck creation and on-going updates for internal and external stakeholders.
  • Supporting Registration as follows:
    • Assisting attendees, including processing registrations on their behalf.
    • Web and Technological Support for customers/members
    • Creating and managing discount codes
    • Upholding excellent registration experience both pre-event and onsite
  • In-kind Donor Recruitment & Management
    • Finding in-kind donors for coffee, tea, wine, liquor, beer, t-shirts, print/signage needs in addition to sustainable gift lounge items
    • Coordinating logistics with the venue and General Service Contractor (GSC) for shipping of all in-kind items

Assist Sponsor and Exhibitor Coordination:

  • Assist the Sponsorship & Expo Manager in executing all sponsor contracts and communications once signed for an event, including:
    • Maintaining accurate and detailed record of each sponsor relationship in sponsor tracking documents and CRM tool (Salesforce)
    • Updating logos to appropriate event microsites
    • Designing and executing the onsite sponsor experience in accordance with their agreement, providing logistical support and tools pre-event and onsite
    • Being a concierge and problem solver for sponsors onsite; supporting Sponsorship & Expo Manager, keeping everyone happy

Activation Hub (AH; Upleveled Expo) Operations

  • Acting as an additional AH liaison onsite for sponsors, exhibitors, venue, GSC, other suppliers, and the SB team
  • Managing exhibitor check in/setup and check out/teardown of Activation Hub spaces
  • Managing the access that expo only or expo staff have; including conflict resolution for those not following rules

Assist Sponsorship and Corporate Member Managers in executing digital aspects of partnerships, including:

  • Updating logos to appropriate locations on SustainableBrands.com website
  • Vetting and creating listing in Solution Provider Directory
  • Granting access to digital partners to specific features on the Sustainable Brands platform, providing initial support resources and information

  • Responsible for the weekly analytics reports.

  • Manage and clean the marketo leads.

Sponsorship Coordinator: Live Event/Digital [Volunteer/Intern]

Job Description – Sponsorship Coordinator: Live Event/Digital

Summary:  Part-time internship open to a passionate, dedicated individual looking to gain experience at the intersection where business meets sustainability.  He/she will also coordinate fulfillment of all sponsorship agreements after signing – both live events and digital, alongside managing those relationships before, during and after the conferences. Recruits in-kind donor/sponsors and manages the process from start to finish.

About the Position:

Sustainable Brands ’16 is the 10th annual conference where we bring together business executives from all over the world for four amazingly packed days of plenaries, breakouts, networking events, an Activation Hub with over 100 exhibitors, an innovation open, and so much more. You’ll be working directly with the Sponsorship & Expo Manager and the whole Operations team at SB, responsible for the coordination of exhibitors at the Activation Hub, executing on all plans for the conference, overseeing the registration process for sponsors, fulfillment of sponsor agreements, and making sure the sales and operations teams play nice among many other things.  This internship also includes fulfillment of our digital partners, including web advertisement management, profiles, etc.  Although this is an unpaid internship, the position includes travel & expenses to San Diego for the conference from June 6 – 9, and please also keep in mind; we are always looking for qualified individuals to join our team, so there is plenty of potential for future employment for the right candidate.


About You:

You are passionate about sustainability playing a role in the business space. You are detail-oriented, great at organizing and planning, and can easily multi-task without getting too overwhelmed. You are eager and willing to learn, and above all you can do so in a fast-paced work environment.  You are an effective and professional communicator. You are good at working in a team, but can be responsible for your own tasks and can take initiative when necessary. You are motivated and self-disciplined and can see a project through from start to finish without a lot of hand-holding. Multi-media skills such as audio/video editing or graphic design skills would be a great bonus. And most importantly, you are willing and able to go above and beyond all the while having a fun-loving attitude!


Now on to the nitty-gritty…

Duties and Responsibilities Specific to Live Events:

  • Sponsor and Exhibitor Coordination

    • Function as main contact for sponsors post contract signing – with the goal of maximizing the value of their participation for all parties involved

    • Manage and fulfill on deliverables SLM has committed to each sponsor

    • Maintain accurate and detailed record of each sponsor relationship

    • Oversee use of sponsor logos

    • Build and maintain sponsor-related pages of the SB website

    • Live Event

      • Design and execute the on-site sponsor experience, including registration, orientation, recognition, special events, workshops, gifts and receptions

      • Design and execute sponsor communications: hotel, registration, schedule, etc.

      • Create and manage all sponsor registration codes, distributing to the sponsor and onsite registration member

    • Digital

      • Managing all sponsor ad placement on SustainableBrands.com and in corresponding newsletters

      • Manage continuous correspondence with digital partners, calling for editorial content, managing access to the Member News Room

      • Uploading all relevant digital partner content (white papers, press releases, reports, etc.) to Member News Room and connect with Managing Editor to publish sponsored articles.


  • In-kind Donor Recruitment & Management

    • Seek valuable relationships with in-kind donors to help offset event expenses and to create an on-site attendee gift lounge showcasing eco-friendly gifts and products. In Kind needs typically include coffee, tea, wine, liquor, beer, print/signage needs in addition to gift items for the gift lounge

      • Must be able to build rapport with members and community members, so that you are comfortable asking for these items

    • Coordinate shipping with venues/decorator and organize product on-site

    • Ensure fulfillment of in-kind sponsorship agreements



  • Graphic Art Management

    • Coordinate sponsor logo placement; online and on-site

    • In collaboration with the Graphic Designer, develop all on-site signage

    • Liaison with the printer from start to finish product on signage


Other Duties & Responsibilities

  • Special Projects

    • Work with the Sponsorship & Expo Manager and the Executive Producer, Live Events on various projects related to sponsor engagement during the live events and conferences throughout the year.

Schedule

We’re looking for a valuable addition to our team with a high potential for growth into a full-time position for the right fit. So if you are the right person, we are willing to be flexible with the timing of this internship. However, this is a general outline of what we’d expect:

  • Starting ASAP

  • Jan – March: 2 days per week or approximately 10-15 hours per week

  • April & May: 2-3 days per week or approximately 20-25 hours per week

  • June 6th-9th: In San Diego full time on-site at Paradise Point

  • After conference: Potential for growth/further employment
